Hey, everyone.  I pray all are safe and sound in these times.  I am trying to explore the possibilities of having virtual meetings with the Detroit/Windsor chapter, and am not really up on all those things you mentioned.  While I will look into (and have started already) some of the resources that you have listed, I think what we really need is ground floor advice from some folks who have actually accomplished virtual meetings with their chapters.  My father used to say,"I may be dumb, but I am not stupid."  I would add," I may be old, but not that old."   I can figure this out, but some basic experiences communicated from those who have actually done this would be helpful.  I think that we can benefit the entire organization by delving deeper into this.  And the interactive part of it is paramount to success at the chapter level.  Not just a recorded or live event that has no inter-activity.  Thank you, Clint for kicking this off.  Now, who can help us with their experiences???     Clark

    Clark-
We did a Zoom meeting last Tuesday, and it was a successful start.
I suggest a group chat about coronavirus for a start. It will give members a chance to get comfortable with the online platform.
Someone needs a Zoom account, or you can do a free 40 minute meeting. If the 40 minute meeting times out, be already signed up for a second meeting and email the link to the participants to restart the meeting. Instructions are on the Zoom website.
Two friends should test it out and become familiar with the operating buttons so they can explain to everyone.
I prefer gallery view for discussions, speaker view when someone is teaching.
Phone and tablet participants should prop up their devices to minimize wobbling videos.
To limit noise and feedback, participants mute their microphones unless they want to say something.
If someone is teaching, it helps if they have a camera separate from their computer monitor.
Here's an idea for next month's meeting: Someone in your chapter has given a video-adaptable technical in the recent past. Get them to offer to do a video visit with another chapter, and ask that chapter to share a video technical with your chapter. With Zoom, travel expenses are minimal.
Can PTG organize a list of on-line technical presenters ready to share a.s.a.p.?

    Hi, Clark,
Eric Johnson posted a nice overview of Zoom and some tips for using it for chapter meetings. I posted it in the Chapter Leaders community. I'll be posting more and hope others will share their experiences and expertise in online chapter meetings.

As Clint said, we are there for you.

Hey everyone ZOOM is probably the easiest tool to use to achieve online presentations & meetings. And they have "How to use" webinars and videos on their website that are super helpful and easy to digest. After attending a  free 15-minute webinar from their training staff it took me less than an hour to get super comfortable with how to use the platform.

You got this. Doing online presentations is a much-needed skillset during this unprecedented time.

    Clark,

www.charlotteptg.com has been exploring with doing live streams of technicals. We have evolved into the following protocols:

Step 1: Keep topics simple, focused, and small (No more than 40 minutes of material) any time we do more than this we come away thinking we should have done less.

    Step 2: Have a $30 lapel mic

Step 3: Use Zoom and if possible put a $60 webcam on a $10 tripod. We also invested in a $40 USB3 Extention cord so the camera/tripod could move more freely around the room without having to reposition the laptop.

We also instituted a peer review process that has helped to raise the quality of the material being presented (It also made it more of a community effort).

    Hi Clark,
Here are some of the basics:
Someone in your chapter needs to pay for a Zoom Meeting Plan.  This will cost $15/mth, but the chapter can cover that expense.  https://zoom.us/pricing
There is a free version, but there is a time limit of 40 minutes per session if more than 2 people attend.

Now, that person can host a meeting.  Just pick the usual day and time for your meeting and set it up on Zoom.  Your meeting will have a title, meeting number and a password number.  Email those details to all of your chapter members, and anyone outside that list you want to invite.  (I enjoyed joining a meeting of the Boston chapter recently).

Tell everyone that they will need to have the Zoom application on their computer or cellphone.  It is free.  Zoom.us.com

Next, line up a technical.  This takes a little more preparation, but if your presenter has a PowerPoint slide show, it is easy for that person to use the "share screen" feature and do a live voice-over.  I have done this for quite a number of chapter meetings around the country.  I also know that Tremaine Parsons has a lecture  or two he is offering on using P-scale.  Everyone is trying to help out, so just ask.

Before the meeting, set up a test to see how it is working.  The host has to be familiar with how the various functions work, and especially how to mute microphones.
Anyone who joins the meeting should be instructed to keep muted unless they want to say something.  Otherwise, when the mailman comes and the dog starts barking......everyone gets it!      -Ken

My day job is an IT professional. I'll make this quick.

DO NOT USE ZOOM. Pick another platform, webex, gotomeeting etc.

If you didn't know, the Information Technology community and Federal Government are moving away from zoom due to spying and hacking my foreign agents within the platform.

Google the topic and read up.

I am not an IT professional.  That said, here is my response.

It is true that Zoom has suffered from privacy issues, but they have taken steps to correct these, as they came under a lot of fire.  For our purposes, it has some advantages and is safe as long as:
You download the application directly from www.zoom.us
You use Firefox or Chrome for the browser.
    You have used a password

    Hi Kenneth,

Unfortunately, you have received bad intel and your statements are inaccurate. While zoom has patched some operating system vulnerabilities it still has major security holes.

When your computer gets hacked because of their security gaps I think you'll change what "good enough" means.

Here's my point: Why choose zoom when there are many others with end to end encryption and have a far better security posture?

In the end to each their own I guess, but as an organization PTG and its affiliates needs to be careful with these types of recommendations.

    - Jonathon

Jonathon, are you sure that Zoom still has major security holes?  The Windows version 4.6.12 was just released yesterday (4-21-2020) and the release notes include security enhancements.

    Jonathan,
Thank you. I have credentials as an RPT .  I have been delivering technicals at chapter meetings for about a year.

Perhaps you will take the time to answer the question more fully. What is the alternative you suggest?  How exactly does a chapter get setup to do these meetings in a more secure way?

    You have the floor......

My father is in cyber security, particularly developing more secure systems. My brother is almost done getting a minor in information security. Both tell me NOT to use zoom. There are, as Jonathan says, major security issues.

My dad suggests using Wedex instead of Zoom. He says it is much more secure, as well as being fully encrypted.

I'm an engineer and involved deeply in IT and online video conferencing as an online piano technology instructor.

I am aware of the security issues with Zoom. I also know that Zoom is dealing with issues and will continue to improve their security. This Corona thing has taken them by surprise. From 10 million users a day to 200 million.

I've also read a lot on the specific issues and many moderate reviewers say it is fine. Most of the complaints are about the old versions that had no password setting for example.

In some ways it is a lot more secure than Skype. For example, with Skype, once someone has your Skype ID they can call you anytime anywhere. With Zoom, I don't know who they are or how to get in touch with them after the meeting unless I set registration on and they have to give their email to register for the class.

Many, many huge organizations - corporations, universities, etc. - are using Zoom. They know this is serious. I'm not worried. They are and will continue to improve security. All video conferencing solutions have security problems. Nothing is 100% secure. Didn't Jeff Bezos' cell phone just get recently hacked?

The DTW chapter has had two Sunday rounds of meetings with the board members, and a few others, to get the bugs out of using Zoom for our chapter meetings in the future.  We have found that it works well for a discussion group type of thing, or a live presentation of a presenter doing anything other than a tuning presentation.  The audio is the stumbling block, so far.  Apparently, Zoom does not support a screen share video with audio from an Android phone.  And the video is choppy with a computer like mine, that may be a bit older and slower than some more up to date (faster) computers.  In a tuning technical, the audio must be really first rate to hear the beats, and that is where we are now, trying to get a good video with  acceptable audio that we can present, and then have the discussion part later.  Working on it, stay tuned!   Clark

I have been teaching online for 8 years. I have needed no special equipment for my students to hear the beats. I use a Mac with high speed internet

The computer speakers, being inferior, do not reproduce frequencies around the temperament and lower very well, thereby effectively being a band pass filter for the higher frequencies where beats occur.

    For what it's worth.
